Chandler ("Chandler," "we," "us," or "our") respects your privacy and is committed to protecting personal information.

This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform, websites, APIs, and related services (collectively, the "Services").

Chandler is a United States–based company providing AI-powered property management and tenant communication tools.

2. Scope

This Privacy Policy applies to:

  • Account users (landlords, property managers, agents, or other business users)
  • Contacts uploaded by account users (such as tenants, owners, or contractors)
  • Visitors to our website, demo pages, and documentation

3. Roles and Responsibilities

  • For account data (for example, your name, email, phone number, and subscription details), Chandler acts as a data controller.
  • For uploaded third-party data (such as tenant, contractor, or owner information), you are the data controller, and Chandler acts as a service provider / data processor, processing such data solely to provide the Services according to your instructions.

Account information

  • Name, email address, phone number
  • Company or organization name
  • Login credentials

Billing information

  • Payment method, billing address, subscription history
  • Payments are processed by Stripe. Chandler does not store full card details.

Uploaded contact data

  • Tenant, owner, or contractor names
  • Emails, phone numbers, addresses
  • Lease or unit details
  • Rent, deposit, or issue-related metadata
  • Contractor contact information

Communications

  • Phone calls, SMS messages (including message content, metadata, and opt-in/opt-out status)
  • WhatsApp messages
  • Emails
  • Transcripts, recordings, AI-generated summaries

Support and demo requests

  • Information you provide when contacting us or booking a demo

Device and usage data

  • Browser type, IP address, operating system
  • Pages viewed, actions taken

Analytics and product telemetry

  • Events, actions, and usage attributes
  • Collected via tools such as Mixpanel, Google Analytics 4, and Microsoft Clarity

Logs

  • Requests to our servers and APIs
  • May include identifiers such as email, phone number, or internal IDs

c. Information From Third Parties

  • Payment processing: Stripe
  • Scheduling: Calendly (name, email, phone when booking a demo)
  • Contractor data: Google Places API (ratings, reviews, contact info)
  • CRM integrations: HubSpot, Salesforce, or other CRMs you connect

5. How We Use Information

We use information to:

  • Provide and operate the Services
  • Handle tenant communication and maintenance coordination
  • Send service-related messages on your behalf
  • Manage billing, subscriptions, and usage limits
  • Monitor, debug, and improve the Services

  • Comply with legal, regulatory, and fraud-prevention requirements
  • Communicate with account users about product updates or changes

We do not use uploaded tenant, owner, or contractor contact information for Chandler's own marketing purposes unless those individuals independently opt in.

6. SMS Communications Policy (US)

This section applies to SMS (text message) communications sent through Chandler.

Purpose

SMS is used to provide tenant support, maintenance coordination, scheduling updates, rent reminders, and critical property notifications, based on the account user's instructions.

Consent

  • Chandler only sends recurring service messages to individuals who have provided explicit consent.
  • Consent is typically user-initiated (for example, a tenant texting Chandler first).
  • After an initial interaction, Chandler sends a separate, explicit request for consent for ongoing messages.
  • Consent is granted only if the individual affirmatively responds (for example, replying "YES").

Opt-Out

  • Reply STOP to opt out at any time
  • A confirmation message will be sent after opt-out

Cost and Frequency

  • Message and data rates may apply
  • Message frequency varies by activity and settings
  • Typical recurring messages range from 2–5 per month

Non-Sharing

Chandler does not sell, rent, or share mobile phone numbers collected for SMS with third parties or affiliates for their own marketing purposes

7. Legal Bases and US Privacy Framework

Chandler processes personal information based on:

  • Performance of a contract
  • Legitimate business purposes such as service operation, security, and improvement
  • Consent where required (for example, SMS or marketing communications)
  • Compliance with applicable US laws

Where required by US state privacy laws (such as CCPA/CPRA), Chandler acts as a service provider for uploaded third-party data.

8. Sharing and Disclosure

We may share information with:

  • Service providers and sub-processors (hosting, payments, communications, analytics, AI services)
  • Third-party integrations you enable
  • Contractors you choose to engage
  • Legal or regulatory authorities when required

Mobile phone numbers collected for SMS are never sold or shared for third-party marketing.

9. Data Retention

  • Account data: Retained while your account is active
  • Uploaded third-party data: Retained until deleted by you or account closure
  • SMS, call logs, transcripts, recordings: Up to 24 months unless deleted sooner
  • Analytics data: Retained per provider defaults (typically 12–26 months)
  • Logs: Retained for security and troubleshooting, then deleted or anonymized

10. Your Rights

Depending on your US state of residence, you may have the right to:

  • Access your personal information
  • Correct inaccurate data
  • Request deletion
  • Object to or limit certain processing
  • Opt out of marketing communications
  • Withdraw consent (including SMS via STOP)

If you upload third-party data, you are responsible for responding to requests from those individuals. Chandler will assist where required by law.

11. Security

Chandler uses appropriate technical and organizational safeguards, including:

  • Monitoring and audit logging

No system is completely secure, but we work continuously to reduce risk.

12. Children's Privacy

Chandler's Services are intended for business use and are not directed to individuals under 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-product notice. Continued use of the Services after changes constitutes acceptance.
